KMC 2019/2020 School Policy

- - - - - YAMAHA MUSIC EDUCATION SYSTEM (YMES) & GROUP COURSE POLICY - - - - -

REGISTRATION

  • Registration fee : $50 per student per course is due at the registration(Except 10-week Ukulele and Voice).
    • Family discount - $30 for 2nd child and more, per student in the same household, also 2nd course or more per course registration
  • A Student's registration is complete when the online enrolment, registration fee payment, a payment plan(full payment or post-dated installment plan) is approved and confirmed by the KMC administration. The registration fee, and annual year end concert fee $25 are non-refundable, unless KMC cancels the class.
  • Registration cancellation:
    • Before July 30th, 2019: Full refund
    • Between August 1st and August 31st, 2019: Any paid tuition fees and the concert fee will be refunded. No refund for Registration fee
    • After September 1st, 2019: No refund for registration fee and the concert fee. The withdraw policy will be applied.

CONCERT FEE

  • Annual Year End Concert will be held in June and is $25 per student. This concert participation is mandatory and the fee is non-refundable
  • Annual Year End Concert fee is not applied for Apple Course, Music Wonderland, and SKC

 

TUITION AND PAYMENT PLANS

  • Total cost includes total tuition fee, material cost, Yamaha exam fee(for applicable courses) and the Year End Concert fee
  • Payment options:
  1. Single payment - paid in full by August 1st, 2019, or at the time of registration
  2. Installment plan(*Refer course description for detail)
    • Must provide a valid credit card information on file
    • Due on the 1st of each month, starting August 1st for full year course
    • Payment must be completed by April 2020
  3. Course material fee credit: In case of reusing some of the materials, credit towards the total tuition fee amount may be available. Must be approved and arranged by the school administration.

DECLINED PAYMENT
$25 will be added for declined credit card transactions occurring more than once within the academic year.

 

WITHDRAWAL
It is understood that registering for a course is to reserve a spot for the full year OR certain numbers of lessons for term courses(refer course descriptions), and that the parents and students have an agreement with the school to complete the course once register

  • Withdraw deadline from the course
    • BEFORE THEIR 7th LESSON(FULL YEAR COURSES) / 4th LESSON(TERM COURSES EXCEPT 10-WEEK COURSES): Tuition refund is available if a student withdraws before above said lesson. Written notice must be received and confirmed by the school administration. Registration fee, material fee are non refundable.
  • ​​​Withdrawal after above said lessons, all fees associated with the course will be non-refundable.
  • 10-week course(ex.Ukulele, Voice) tuition fee are not refundable once register.

MISSED GROUP LESSONS

  • No Refunds/Credits/make-ups will be issued for missed group lessons. Homework assignment will be provided by the class teacher
  • Student who miss 3 or more consecutive lessons can schedule a one-on-one catch-up lesson with an extra cost. This must be agreed or recommended by the class teacher and scheduled through school administration. Available instructor will be assigned for catch-up lessons.
  • Student who miss more than 20% of the course curriculum are not eligible to register in the subsequent course the following year. A meeting with the school director must be scheduled to discuss the options for the next school year registration.

LESSON CANCELLATION

  • TEACHER ABSENCE: Group lessons cancelled by the instructor will be scheduled and made up on the next Makeup Sunday, which are identified on the school calendar. Or a qualified teacher will be arranged to substitute the lesson. It is non-refundable or re-schedulable if student is unable to attend the makeup class.
  • WEATHER RELATED CANCELLATION: Cancellations due to inclement weather are not eligible for make-ups or refund. KMC reserves the right to cancel the lessons when there is warning issued by Environment Canada or City of Ottawa. The school will contact all affected families via account email no later than 2 hours prior to their lesson start time

POSTPONE & CANCELLATION OF A CLASS
KMC reserves the right to postpone the start date of a group class, and cancel any class with low enrollment that has not started.  Every effort will be made to transfer the student to a similar class or offer an alternate option.

LENGTH OF LESSON FOR SMALL GROUPS
KMC reserves the right to adjust the length of the lesson time at any point in the year should the size of the group class decrease to less than 3 students.

 

SWITCHING CLASSES
One permanent switch between classes/teachers per school year can be arranged if it can be accomodated. After that an administrative charge of $25 will apply.

PARENTAL INVOLVEMENT

  • Apple Course, Music Wonderland, Junior Music Course 1/2 & Young Musician Course 1: A parent or guardian (must be an adult age 18+) must accompany each student at each lesson
  • All other courses & advanced courses: Parents participation during the lesson will be at teacher’s discretion

PRACTICE COACHING

  • Available for JMC3/YMC2+ level of students, coached by KMC students with a YGE Gr.7+/RCM Gr.6+ level and supervised by the director. Schedule must be determined by the school administration and it is non-reschedulable for any reasons, and non-refundable.
  • Lessons cancelled by coaches will be arranged for makeup. If any reasonable makeup schedule can not be arranged, the fee will be credited in to the student’s account.

PARTICIPATION WAIVER
KANATA MUSIC CENTRE reserves the right for the followings;

  • Use any photos or video taken at the school or at related events for the school promotional materials
  • Suspend students for non-payments of tuition or inappropriate conduct
  • KMC is not responsible for personal injury or damage/loss belongings on its premises

*NOTE - The academic year is from September 1 to August 31.

PREREQUISITE

  • Graduates of Yamaha Group Programs, or age 9+ by assessment. (At KMC, beginners age 8 & under are recommended to start with YAMAHA group lessons)

MISSED PRIVATE LESSONS AND MAKEUP LESSONS

  • A maximum of three (3) private lessons per academic year can be rescheduled by the student provided that a minimum of 24 hours notice is given.
  • ​​​​​​​Makeups must be scheduled and taken before or on the closest Makeup-Sunday, which is scheduled on current school calendar
  • Makeup lessons are not reschedulable for any reasons

WITHDRAWAL

  • Written notice for minimum 4 consecutive lessons received by the school administration is required to withdraw from the lesson registration. The 4 lesson period commences upon receipt of the notice. Tuition is payable for the duration of the 4 lesson period whether lessons are attended or not. Remaining tuition fee(minus concert fee and instalment fee if applicable) will be refunded.
  • Tuition refunds will not be granted for withdrawal notices received after April 1st, 2020. No refundable lessons for May 2020 and June 2020.

PARENTS CLASS OBSERVATION
Available upon request, or teachers request due to students’ behavioral issues or learning issues. Otherwise parents will not be in the room during the lesson

KMC SUMMER PROGRAM 2019 POLICY  

REGISTRATION:  A student's registration is complete when the online enrolment, payment and google form is approved by the KMC administration.  Deadline to register is June 30, 2019

EXTRA FEES: A $5 fee will be charged for every 10 minutes past your pick up time that you are late.

WITHDRAWAL:  Written notice of your intent to withdraw from the program must be received by end of day June 9th, 2019 and must be confirmed by KMC administration in order to receive a partial refund. If received by end of day June 10th 2018, a $150 non-refundable, non-transferable administration fee will be subtracted from the enrolment fee before the refund is processed. NO REFUNDS will be given if notice is received after June 9, 2019.
