KMC 2020/21 School Policy

       

 

***Please read carefully BEFORE signing the registration form. Please note that KMC administration will not be obligated to debate or defend the policy for any reasons and no exceptions to the school’s policy can be made. Thank you for your understanding and cooperation. ***

 

 

- - - - - YAMAHA MUSIC EDUCATION SYSTEM (YMES) & GROUP COURSE POLICY - - - - -

REGISTRATION

  • Registration fee (covers, for example, the cost of administrative work of setting up and maintaining students’ attendance throughout the year in our school-class-management and tuition billing system, cost of student’s concerts participation, etc.):
    • Full Year Course
      • $75 per student per course, due at registration
      • Sibling discount - $50 for 2nd child in a full-year course per student in the same household, and also for 2nd (or more) full-year course registration.
      • Family limit: $125
    • Term Course (Apple, MW, Guitar, Ukulele, SKC)
      • $30 per student per course, due at registration
      • Sibling discount - $20 for 2nd (or more) child in term course
      • Family limit: $50
  • A student's registration is complete when the submission of the registration form, a payment plan (full payment or post-dated installment plan) and registration fee payment is approved and confirmed by the KMC administration. The registration fee is non-refundable unless KMC cancels the class.
  • Registration cancellation:
    • Before July 31st, 2020: Full refund
    • Between August 1st and August 31st, 2020: Any paid tuition fees will be refunded. No refund for registration fee
    • After September 1st, 2020: No refund for registration fee. The withdrawal policy will be applied.

 

TUITION AND PAYMENT PLANS

  • Total cost includes total tuition fee, material cost, and Yamaha exam participation fee (for applicable courses only).
  • Payment options: 
  1. Single payment - paid in full by August 1st, 2020, or at the time of registration
  2. Nine (9) Installment plan (*Refer to the course description for detail)
    • Must provide valid credit card information on file
    • Due on the 1st of each month, starting August 1st for full-year courses
    • Payment must be completed by April 2021
  • Course material fee credit: In case of reusing CD/DVD for course curriculum, credit towards the total tuition fee amount may be available. Must be approved and arranged by the school administration at the time of registration. If notified after the registration, credit will be added into the account.

DECLINED PAYMENT
$25 will be added for declined credit card transactions occurring more than once within the academic year.

 

PARENTAL INVOLVEMENT

  • Apple Course, Music Wonderland, Junior Music Course 1/2 & Young Musician Course 1: A parent or guardian (must be an adult age 18+) must accompany each student at each lesson.
  • All other courses & advanced courses: Parent participation during the lesson will be at teacher’s discretion.

 

YEAR END CONCERT

  • Annual Year End Concert Ensemble performance opportunity will be available in June 2021. This concert participation is mandatory and is part of the curriculum.
  • Annual Year End Concert performance is not applied for Apple Course, Music Wonderland, and SKC.

 

WITHDRAWAL
It is understood that registering for a course is to reserve a spot for the full year OR certain numbers of lessons for term courses (refer to course description), and that the parents and students have an agreement with the school to complete the course once registered.

  • Withdrawal deadline from the course
    • BEFORE THEIR 7th LESSON (FULL YEAR COURSES) / 4th LESSON (TERM COURSES EXCEPT 10-WEEK COURSES): Tuition refund is available if a student withdraws before above said lesson. Written notice must be received and confirmed by the school administration. Registration fee and material fee are non-refundable.
  • Withdrawal after above said lessons: all fees associated with the course will be non-refundable.
  • 10-week course (ex. Ukulele, Voice) tuition fees are not refundable once registered.

MISSED GROUP LESSONS

  • No refunds/credits/make-ups will be issued for missed group lessons. Homework assignment will be provided by the class teacher.
  • Students who miss 3 or more consecutive lessons can schedule a one-on-one catch-up lesson for an extra cost. This must be agreed or recommended by the class teacher and scheduled through school administration.
  • Students who miss more than 20% of the course curriculum are not eligible to register in the subsequent course the following year. A meeting with the school director must be scheduled to discuss the options for the next school year registration.

LESSON CANCELLATION

  • TEACHER ABSENCE: Group lessons canceled by the instructor will be scheduled and made up on the next Makeup Sunday, which are identified on the school calendar. Or a qualified teacher will be arranged to substitute the lesson. It is non-refundable or re-schedulable if student is unable to attend the makeup class.
  • WEATHER RELATED CANCELLATION: Cancellations due to inclement weather are not eligible for makeups or refund. KMC reserves the right to cancel lessons when there is a warning issued by Environment Canada or City of Ottawa. The school will contact all affected families via account email no later than 2 hours prior to their lesson start time.

POSTPONE & CANCELLATION OF A CLASS
KMC reserves the right to postpone the start date of a group class and to cancel any class with low enrollment that has not started. Every effort will be made to transfer the student to a similar class or to offer an alternate option.

LENGTH OF LESSON FOR SMALL GROUPS
KMC reserves the right to adjust the length of the lesson time at any point in the year should the size of the group class decrease to less than 3 students.

 

SWITCHING CLASSES
One permanent switch between classes/teachers per school year can be arranged if it can be accommodated. After that, an administrative charge of $25 will apply.

 

PRACTICE COACHING

  • Available for JMC3/YMC2+ students, coached by KMC students with a YGE Gr.7+/RCM Gr.6+ level and supervised by the director. Schedule must be determined by the school administration and it is non-reschedulable for any reasons, and non-refundable.
  • Lessons canceled by coaches will be arranged for makeup. If any reasonable makeup schedule cannot be arranged, the fee will be credited into the student’s account.

*NOTE - The academic year is from September 1 to August 31.

KANATA MUSIC CENTRE reserves the right for the following:

  • Use any photos or videos taken at the school or at related events for school promotional materials.
  • Suspend students for non-payments of tuition or inappropriate conduct.
  • KMC is not responsible for personal injury or damage/loss belongings on its premises.

  • Graduate of Yamaha Group Programs, or age 9+ by assessment (at KMC, beginners aged 8    & under are recommended to register in YAMAHA group lessons)

    • Payment must be completed no later than May 1st, 2021

MISSED PRIVATE LESSONS AND MAKEUP LESSONS

  • A maximum of three (3) private lessons per academic year can be rescheduled by the student provided that a minimum of 24 hours’ notice is given. Same day cancellations are not eligible for a makeup lesson for any reason.
  • Makeups must be scheduled and taken before or on the closest Makeup-Sunday, which are scheduled and listed on the school calendar.
  • Makeup lessons are not reschedulable for any reason.

PARENTS CLASS OBSERVATION
Available upon request and approved by the school director, or at teacher’s request due to student’s behavioral or learning issues. Parents will otherwise not be in the room during the lesson.

 

WITHDRAWAL

  • Written notice received by the school administration is required to withdraw from the private lesson registration. The 4 lesson period commences upon receipt of the notice. Tuition is payable for the duration of the 4 lesson period whether lessons are attended or not. Remaining tuition fees (minus unused installment fee, if applicable) will be refunded.
  • Tuition refunds will not be granted for withdrawal notices received after May 1st. No refundable lessons for the remaining school year.

YEAR END CONCERT

  • Annual Year End Concert performance opportunity is available in June 2021. It is highly encouraged for all the students to participate in the event, and is part of the curriculum.
