ENROLLMENT, TUITION & CANCELLATION POLICIES
Academic Year Enrollment - All IQuest enrollments are for the 2018-2019 Academic year, which follows the Leander ISD calendar (Thursday August 17, 2018 thru Wednesday, May 29, 2019). There are 37 weeks of classes in the 2018-2019 LISD Academic year. Students can be enrolled in any of the programs at any time.
Tuition Payments - Tuition is billed on a 4-week cycle, and is billable at the beginning of each calendar month, in advance of the classes. Following tuition payment at registration at the start of the Academic year, 9 additional tuition payments are scheduled to be processed during the first week of September, October, November, December, January, February, March, April, and May. For parents who sign up after the start of the Academic year, the number of tuition payments will be pro-rated through the end of the Academic year.
Class Designation Based on Enrollment
Typically our classes are approximately 55 minutes in duration. Extended 85 minute classes can also be scheduled at a 50% higher fee than a regular (55min) class fee.
Class designation is determined at the start of the Term (i.e. September 4th, 2018, January 1, 2019, and March 1, 2019. We offer:
Classes “make” when they have the required number of enrolled students (3 students for a group class or 2 students for a semi-private class). Parents who request a group class will be charged a group class rate during the initial months of registration. If a class fails to have the required minimum of students at any point during the Term, the parents will be contacted about the class enrollment status and be given an opportunity to continue the class at the next billing level (i.e., group class coverts to a semi-private class and semi-private class converts to a private tutoring class) at the start of the next Term. If parents do not agree to move to the next billing level, the class may be canceled for the next Term.
*Multiple Class & Sibling Discounts: With the exception of private and semi-private tutoring classes and classes hosted by a third-party vendor (e.g. Playwell), you are entitled to receive a 10% discount on the second group class when registering a child for more than one class OR registering siblings for the same class. In this instance, the first class will be charged at full price and the subsequent single class will receive a 10% discount automatically deducted at checkout. Please make sure that you register for all the classes at the same time to receive the discount. Should you encounter any issues, please contact us and we will make any necessary adjustments.
We require a billing profile to be set up for each account. We accept all major credit cards - Visa, Mastercard, Amex and Discover cards. For semester long courses, a monthly tuition will be automatically billed to the credit card that you have authorized on file during the registration and then on the first week of the following months. You will receive an email confirming the transaction. We charge for any additional fees (e.g., book fees, shuttle fees, supply fees) at the same times as the tuition, as a single transaction or multiple transactions. However, you have the option of remitting payment online via the "Make A Payment" tab for other items such as book fees. Most of these fees are due at the time of registration and collected during the processing of your registration.
For accounts that are not set up for auto-billing, please be aware that payments made after the 5th day of the month will be charged a $15 late fee. If payment is later than 15 days, your child's attendance in classes will be suspended until the balance is settled. A $35.00 return check fee will be charged on all checks returned by the bank, in addition to the full amount owed on the account.
ATTENDANCE & MISSED CLASSES
Consistent attendance is essential for progress. Tuition is not refundable and no credit will be applied for classes missed by the student.
Make-ups - No makeup is available for missing a scheduled class. The following exceptions apply:
Illness - Students with obvious symptoms of illness, including fever, persistent cough, runny nose, nausea, etc., will not be permitted to participate in class. Parents or guardians will be notified if a student needs to be removed from class. Class material will be provided for a child who is sick. Thank you for your understanding and cooperation.
CANCELLATION & WITHDRAWAL POLICY
Center cancellations: Prior to the start of any class or camps, we reserve the right to cancel that group or semi-private class or camp due to scheduling changes or low enrollment or to offer that class as a semi-private class or private class to the enrolled students. In the event of a full cancellation by the Center, you will be refunded in full for any classes/camps cancelled. For classes converted to a semi-private or private class, the appropriate per class fee will be charged, with agreement from parents.
Cancellation & Change fee before class/camp: All changes or cancellations will incur a $50 non-refundable processing fee.
Withdrawal and cancellation policies for Partner Programs may differ and will apply to cancellations from those classes/camps.
There is no refund for cancellation within 14 days of the start of the camp/class.
Cancellations after class begins - A thirty (30) day advanced notice (in writing) is required to cancel an enrollment in (or withdrawal from) any ongoing class, and the cancellation is effective on the 1st day of the following month after the 30 days have elapsed. No refund will be issued if the cancellation request is not timely received and the account will be charged for the next full month of classes.
For the avoidance of doubt, a written notice must be received (email shall suffice) by or before the last day of the current month in order for the cancellation/withdrawal to be effective after the end of the following month.
No Refunds - There is no refund once a camp/class starts.
Suspension - Our program does not support suspension of enrollments. See Cancellation Policy.
Disciplinary Actions - All children who enter our facility are expected to engage in positive behavior and use appropriate language when interacting and/or communicating with the Teachers, Guides, and other students at the Center. We reserve the right to remove/suspend/expel from a class and/or from our Program any student who is disruptive and/or disrespectful and who refuses to stop being disruptive/disrespectful after being asked to. We will provide parents with notice of any behavior observed from their child that is not acceptable.
Modifications of Policy - We reserve the right to update this policy from time to time. Persons who have enrolled prior to a policy modification will have their enrollment governed by the policy in effect at the time of their enrollment.
LIABILITY WAIVER, ASSUMPTION OF RISK, & INDEMNITY AGREEMENT
In order to participate in and/or by registering for one of the programs, classes, camps, etc. (collectively Activities) hosted by, at, in, or around the Center (inclusive of the interior spaces, classrooms, exterior spaces, outdoor playground areas and other areas) and/or other locations in/at which one or more of the Activities are held by one or both of 4Points Academy LLC & IQuest Global Enrichment Center LLC (collectively the Companies), all participants (and their parents or legal guardians, if applicable) expressly agree to the following:
Waiver of Liability: As an adult participant or the legal parent or guardian of the non-adult participant, I am aware that despite the best of intentions, injuries may occur while participant is participating in and/or present at the Activities held by the Companies. I understand that while the Companies strive to foster safe habits and practices, children can present dangers to themselves or others and that accidents can happen. In the case of accident or sickness, the Companies have my permission to secure such medical attention for my child as is deemed necessary. All expenses will be the responsibility of, and shall be paid for by, the parents or guardians. I hereby give my consent for the participant to join in all activities and engage in interactions with fellow students and directors/teachers/staff/guides/artists/invited guests at Companies. I and my representatives hereby agree to waive any right to seek compensation or other redress for damages sustained by the participant’s engaging in the Activities, at any time and for any reason, and to release Companies, their officers, directors, staff, experts, teachers, assistants and representatives from any and all claims of responsibility. The Companies reserves the right to dismiss a student whose conduct is dangerous, illegal, or unsatisfactory at the discretion of the Director, or whose conduct is disruptive and/or detrimental to the Center and/or other students. No refunds are given for dismissed students.
Assumption of Risk: I further acknowledge and agree that I understand the nature of the Companies and the Activities; that the Participant is qualified, in good health, and in proper physical condition to participate therein; that there are certain inherent risks and dangers associated with the Activities; and that except as expressly set forth herein, I knowingly and voluntarily accept, and assume responsibility for each of these risks and dangers that could occur during Participant’s participation in the Activities at Companies.
Release and Waiver: As the participant and/or the parent or authorized legal representative of participant, I hereby RELEASE, WAIVE, DISCHARGE the Companies and/or their officers, directors, employees, staff, teachers, and/or guides (collectively, the “Releasees”) from and COVENANT NOT TO SUE for any liability resulting from any personal injury, accident or illness (including death), and/or property loss, however caused, arising from, or in any way related to, Participant’s participation in the Activities.
Indemnification and Hold Harmless: I also hereby agree to INDEMNIFY, DEFEND AND HOLD the Releasees HARMLESS from any and all claims, actions, suits, procedures, costs, expenses, damages and liabilities including, but not limited to, attorney’s fees, arising from, or in any way related to, Participant’s participation in the Activities.
Media Release: I also agree and consent to the use of any pictures of the Participant taken while participating in the Activities and/or while at the Center to be used in marketing or promotion materials, such as on the website and/or in published newsletter of the Companies.
No Weapons Policy: The use or possession of any weapons is strictly prohibited from the Center. It is a violation of the Companies’ Weapons Policy for any person including students, employees and visitors who possess or carry whether openly or concealed any weapons on premise. The term “weapon” includes but is not limited to the following: any firearm, gun, rifle, pistol, bb gun, stun gun, slingshot, razors, nun chucks, grenades, knives, etc. Any person violating this policy shall be disciplined at the discretion of the Companies administration and reported to local authorities. If convicted, the individual may face felony charges and prison time as punishable by law.
Acknowledgment of Understanding: By participating in the Activities, I represent that I, as the Participant and/or legal representative of the Participant, have read and fully understand the media release, no weapons policy, the assumption of risk, release and waiver of liability, and indemnity agreement, have had the opportunity to ask questions about the same, and have agreed to the terms therein.
